Job Description

The Iowa Department of Health and Human Services (HHS) is seeking a case abstractor (Administrative Assistant 2) for the state's Child Death Review Team (CDRT). This position serves as the primary data abstractor for all child death review cases in Iowa. This position will conduct child death case identification from internal and external information sources, abstracts medical and other pertinent records, develops case summaries and tracks case data.

Responsibilities:

The CDRT case abstractor will be requesting, collecting and maintaining decedent records from across several disciplines and jurisdictions (city, county and state law enforcement, clinics, hospitals and medical systems, EMS, local and state fire departments, school districts, judicial system, and state, county and municipal agencies, etc.).

This role will be responsible for producing high quality abstraction of records to complete data for the National Center for Fatality Review and Prevention (NCFRP) database, writing a case narrative summary and gathering statistical and other pertinent information related to decedent to facilitate case review.

Other duties will include arranging logistics of CDRT meetings, attending meetings to take meeting minutes and assisting with logistics and questions about data abstraction. This role may also assist staff members with logistics of reports, meetings, presentations and other needs of the CDRT.

Requirements:

Accurate and timely data entry into the NCFRP and staying up to date on the NCFRP data system.

Ability to view, communicate and process difficult and detailed information related to child deaths, including death scene reports and images, child protective service reports, autopsy reports and images, etc.

Manage multiple projects simultaneously while successfully completing work assignments in a timely manner and keeping track of incoming and outgoing communication.

Ability to maintain strict confidentiality.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).

  • A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.

  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
